Your tasks
Given the continued growth in our global investment mandate, we are now seeking a dynamic and service-oriented person to join our team as Office Assistant in Baar.
 
This position will offer you a unique opportunity to enter an attractive and fast-growing area of the financial industry by joining one of the most successful private equity secondaries players.
 
Your tasks:
  • Assist two Managing Partners with their organizational tasks (calendar management, travel arrangements, CRM note filing, expense reports) and support the broader team with travel and scheduling arrangements
  • Support other senior team members on ad-hoc requests relating to travel and meeting scheduling 
  • Support the organization of external and internal events such as AGMs, investor meetings and team offsites
  • Execute mass-mail campaigns in CRM system
  • Provide office management support: ensure office runs smoothly including liaising with office service providers as required (e.g. maintenance and cleaning firms), maintain office stationary supplies, order business cards, ensure mail services, purchase employee and guest snack supplies
  • Support internal and external meetings for the team including receptionist and guest care services (e.g. organizing catering if required, offer beverages etc.) 
  • Support marketing materials / activities including e.g. presentation printing & binding
  • Liaise with New York office when needed
  • Support cash expenses and credit card expenses report preparation
  • Reports to and acts as Deputy of Office Manager 
Your Profile
  • Flexible but yet highly structured work attitude with the ability to manage multiple tasks in parallel and deliver on priorities at busy times
  • Can-do mindset, drive and solution orientation 
  • Customer and service oriented
  • Proven experience (3+ years) as a team assistant (executive assistant preferred)or in another relevant administrative role, ideally in the finance / private equity industry
  • Prior experience in event organization,guest care and mass emails through CRM systems a plus  
  • Basic graphic design and/or layout skills a plus
  • Excellent organizational and time management skills   
  • Excellent written and verbal communication skills in English and German a must
  • Proficiency in MS Office
  • Comfortable with technology, including various software applications and hardware
